Gallagher Bassett go live with eXpense

International Insurance company Gallagher Bassett has implemented eXpense at its UK operations. Founded in 1962, Gallagher Bassett provides risk management services worldwide through more than 100 branches and 2,500 skilled professionals. The UK operation, active since 1991, has 125 claims handlers working in seven locations and dealing with more than 60,000 new claims a year.

As a large insurance organisation, Gallagher Bassett has many claims handlers on the road, all incurring out of pocket expenses. The expense claim and approval process was long-winded and messy - employees in various offices had different paper-based procedures to follow, with some employees authorising expenses from different offices. When claims had been submitted and approved, they were rekeyed into Gallagher Bassett's SunSystems Ledgers and processed for payment.

This labour-intensive system ran the risk of errors due to re-keying, took a great deal of time to administer and gave management and employees very little visibility on expense claims.

By implementing eXpense, Gallagher Bassett can ensure that all expense claims are handled correctly in accordance with corporate guidelines and that nothing "falls through the cracks".

Claims handlers enter expenses online through a browser-based interface which automatically validates the expense claims and ensures they are correctly coded for in the accounting system. Claims are then automatically routed to the employee’s manager, who will receive an email alert. When claims have been routed and approved, they are uploaded into Gallagher Bassett's SunSystems accounting system where they are processed for payment and reporting.
